Digital transformation case study · Anonymized engagement

From ERP to agility

A phased path from an ill-fitting NetSuite implementation to a rapid no-code bridge and, ultimately, a purpose-built field service platform.

6 weeksto launch the bridge stack
$100Krenewal cost avoided
95%+field data capture
Same dayjob completion to invoice

How to read these outcomes: These outcomes compare the documented NetSuite-era workflow with the operating state described after the replacement rollout. Cost avoidance reflects the renewal and related fees the company did not incur. Field capture and invoice timing were reported by the project team during the engagement. Results are specific to this anonymized engagement and are not a guarantee of future performance.

A growing HVAC, plumbing, and electrical services business was paying enterprise-level costs for software that made field work harder. Rigid workflows, poor mobile usability, per-user licensing, and fragile integrations slowed dispatch, delayed invoicing, and kept critical users out of the system.

  1. 1

Delivered an operational bridge with Airtable, Stacker, and Make.com before the NetSuite renewal deadline.

  2. 2

Used the bridge period to validate workflows and clean legacy data with real users.

  3. 3

Built a purpose-designed platform around dispatch, field operations, customer segments, pricing, and invoicing.

  4. 4

Migrated in controlled stages with parallel validation and a rollback plan.

Inside the work

The decisions that made the difference.

01

Immediate relief without a risky big bang

The company could not wait six to twelve months for a custom build, but another year of NetSuite was the wrong investment. A 60-day independence plan created breathing room: core job management, dispatch, mobile field updates, customer records, notifications, and reporting moved to a flexible bridge stack in six weeks.

02

Discovery through working software

The bridge was intentionally temporary. It let the team observe how the business actually operated, separate real requirements from legacy-system habits, resolve data quality issues, and shape the eventual product around three distinct customer and workflow models.

03

A platform shaped around operations

The resulting platform makes dispatch, field work, pricing, invoicing, and customer communication first-class capabilities. Clean APIs connect accounting, communications, and fleet systems while every technician, dispatcher, and manager can access the tools they need without seat-count tradeoffs.
